HAYS in Ottawa is hiring for a Residential Property Manager
About the Role:
The Community Manager is responsible for overseeing day-to-day operations across multiple independent residential communities and reports to the Property Manager. This position involves leading a team of administrative staff at each community while maintaining a strong focus on resident satisfaction and the resident lifecycle. This roving-based position will work at several residential communities, based on the community and team needs, and assists the Property Manager with daily tasks.
Key Responsibilities:
- Leads and manages administrative operations and staff across multiple communities.
- Assists with interviews for applicable team positions.
- Provides team member specific performance plan/goal writing and meets with team members to review performance plans/goals. Property Manager to aid as needed.
- Provides feedback to Property Manager for overall team improvement/trainings.
- Monitors and reports on community delinquency and collections efforts.
- Works with legal and collections to recoup outstanding balances.
- Monitors and reports on resident feedback.
- Analyzes resident satisfaction surveys.
- Provides recommendations to enhance the resident living experience and improve resident retention efforts.
- Provides first level conflict resolution efforts.
- Cultivates strong resident relationships by addressing complaints and resolving disputes as positively as possible.
- Escalates complaints to Property Manager as needed.
- Assists with the organization and implementation of community events.
- Provides insight into planning, budgeting, and execution once approved.
- Develop and implement management strategies tailored to the unique needs of each community.
- Provide daily support to administrative team, assisting with email and phone responses, and ensure management reports are complete.
- Works alongside Maintenance Manager to ensure work order satisfaction.
- Assists administrative team in warm calls for resident feedback and provides relevant information to Maintenance Manager and Property Manager.
- Ensures community offices are well stocked.
- Informs Property Manager when supplies need ordered within budgetary restrictions.
Budget Performance:
- Identify areas for cost saving improvements to reduce expenditures and/or waste.
- Track financial expenses relating to office expenditures for all communities within the portfolio, monthly.
- Provide reporting to Property Manager as requested.
- Assist with development of annual budgets for all communities.
Due Diligence:
- PM level approval for invoices and purchase orders.
- Ensures communities are following established GL pathways and accounting processes.
- Ensure compliance with municipal and federal requirements for multi-family residential housing.
- Attends LTB Tribunal hearings on behalf of Ownership with Property Manager.
- Ensure digital residential files are up to date.
- Review demographics and insurance compliance rates, improving where needed.
- Ensure all required documents are received and stored correctly.
- Assists Property Manager with Standard Operating Procedure feedback.
- Identifies areas for growth.
- Reviews turned over suites with Maintenance Manager to ensure standards are met.
- Attends building handovers from Development with Management Team.
- Assists with office setup.
- Performs other duties as directed by leadership or as the position evolves.
About You:
- Post-Secondary education or suitable professional training and experience as an alternative.
- 5+ years of progressive experience in multi-family residential management.
- Strong leadership skills, with proven experience managing a team of direct reports.
- In-depth knowledge of the Residential Tenancies Act and Landlord Tenant Board rulings.
- Extensive experience with Yardi.
- Experienced in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint).
- Valid driver's license and operable vehicle are required.
- High attention to detail and data.
- Ability to analyze situations and develop creative solutions.
- Ability to meet deadlines and coordinate multiple projects.
- Excels in a digital environment – ability to create and manage multiple projects using technological solutions.
- Extremely organized and efficient.
