Hiring an Administrative Assistant in Calgary, AB for a 6-8 week contract

Your new company

Hays is partnering with a dynamic property management company based in Calgary. They have a great reputation and foster a collaborative, fast-paced work environment. They are based in a convenient downtown office location. You will be starting immediately and working full-time, Monday-Friday, in the office.

Your new role

We are seeking an experienced Administrative Assistant to join our team on a 6-8-week contract. You will be responsible for the following:
  • Greet and assist all visitors, guests and tenants
  • Maintain a professional appearance in the front reception/communal areas of the office
  • Manage incoming and outgoing calls
  • Send, receive and distribute courier packages
  • Handle incoming and outgoing mail
  • Order stationery supplies for the Head Office and maintain inventory control
  • Maintain boardroom and meeting rooms
  • Prepare both internal and external correspondence
  • Organize meeting rooms and facilitate food services as necessary
  • Maintain company business contact list
  • Electronic filing of documents
  • Liaise with outside suppliers for stationary and supplies
  • Assist with photocopying and meeting materials assembly as required
  • Perform general office duties such as managing supplies, handling mail, and organizing office spaces
  • Provide support to Corporate Services
  • Assist in special projects and perform other duties as assigned

What you'll need to succeed

  • Administrative experience in a professional office environment
  • Experience in a front-line customer service or reception position is required.
  • Strong proficiency in Microsoft Word, Excel and Outlook
  • Exceptional Customer Service and teamwork skills
  • Strong, effective and professional written and verbal communication and presentation skills
  • Ability to exercise confidentiality
  • Ability to handle multiple demands and adapt to new ideas and constant changes
  • Strong attention to detail and accuracy
  • Excellent planning, organizational, analytical and problem-solving skills
  • Honesty and integrity combined with a high level of initiative and dedication
  • Successful police criminal record check and education check
