We are seeking a Property Administrator in Ottawa

We are seeking a highly organized and detail-oriented Property Administrator to join our team. The ideal candidate will be responsible for managing various administrative tasks related to property management, including tenant relations, lease administration, financial reporting, and maintenance coordination.

Responsibilities:

  • Tenant Relations:
    • Respond to tenant inquiries and concerns in a timely and professional manner.
    • Process tenant applications, lease renewals, and lease terminations.
    • Coordinate move-ins and move-outs, including inspections and key exchanges.

  • Lease Administration:
    • Prepare and review lease agreements.
    • Track lease expirations and renewals.
    • Monitor tenant compliance with lease terms.

  • Financial Management:
    • Collect rent payments and process invoices.
    • Prepare and analyze financial reports, including income statements and balance sheets.
    • Track and reconcile property expenses.

  • Maintenance Coordination:
    • Respond to maintenance requests from tenants.
    • Coordinate with vendors and contractors to schedule and oversee repairs and renovations.
    • Track maintenance costs and prepare maintenance reports.

  • Administrative Tasks:
    • Maintain accurate property records and files.
    • Prepare correspondence and reports as needed.
    • Assist with marketing and leasing efforts.
Qualifications:

  • Bachelor's degree in Business Administration, Real Estate, or related field preferred.
  • 2+ years of experience in property management or related field.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in property management software (e.g., Yardi, Buildium).
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
Additional Skills (Preferred):

  • Knowledge of local real estate laws and regulations.
  • Experience with accounting and financial software.
  • Familiarity with building maintenance and repair processes.
